IMAP and your mail server: how it works, and why it matters where your email lives

IMAP is the protocol that keeps your email in sync across devices. But it was never designed to be a permanent filing system — and treating it like one can quietly create problems for your business.

What IMAP actually does

IMAP stands for Internet Message Access Protocol. When you check your email using IMAP, your email client connects to the mail server and displays the messages stored there. Unlike the older POP3 protocol, which downloads email to your device and typically removes it from the server, IMAP leaves the original message on the server and simply shows you a synchronised view of it.

This is what allows you to see the same inbox on your phone, your laptop, and your desktop all at once. Any action you take — reading a message, moving it to a folder, deleting it — is reflected across all devices because the change is made on the server, not just locally.

What the mail server is actually for

A mail server’s primary job is to receive, route, and temporarily hold email until it is collected or read. It is designed for throughput and availability, not long-term storage. Most hosted mail accounts come with a storage quota — a fixed amount of space allocated on the server for your mailbox. When that quota is reached, the server stops accepting new mail for that account.

This is an important distinction. The server is the delivery mechanism, not the archive. Treating your IMAP inbox as a permanent record of your business correspondence puts that record in a location that has limits, dependencies, and risks that a properly managed local or backup system would not.

The risks of leaving too much on the server

Many businesses accumulate years of email on their mail server without giving it much thought. This creates several practical risks that are worth understanding.

Quota limits. When a mailbox fills its allocated space, incoming mail bounces back to the sender. From the outside, it looks like your email address has stopped working. This can damage client relationships and cause you to miss important correspondence without any warning.

Single point of failure. If your mail server experiences an outage, is compromised, or if your hosting account lapses, everything stored on that server becomes temporarily or permanently inaccessible. Unlike a local archive, you have no copy you can fall back on.

Account access dependency. Your ability to access IMAP mail depends on having valid credentials and an active account. If an account is suspended, a password is lost, or a domain expires, access to that mail history can be cut off immediately.

Performance degradation. Very large mailboxes can slow down your email client, particularly during initial sync or when searching. This becomes more noticeable on older hardware or slower connections.

The correct approach: use the server as a transit point

The most reliable approach is to treat your mail server the way it was intended — as a transit and access layer, not a storage vault. Current and active correspondence lives on the server, kept manageable in size. Older email that you need to retain for reference or compliance is moved off the server into a local archive held on hardware you control.

This approach gives you the best of both worlds: the convenience of IMAP synchronisation across your devices for day-to-day mail, combined with a stable, searchable local record that exists independently of your hosting account, your subscription, or your internet connection.

It also makes your mail server easier to manage. Smaller mailboxes are faster to sync, less likely to hit quota limits, and simpler to troubleshoot if something goes wrong.

A note on compliance and record-keeping

For businesses that need to retain email records for legal, financial, or contractual reasons, it is worth considering whether a mail server alone is an appropriate place to hold those records. An archived copy stored locally and backed up regularly is a far more dependable foundation for any record-keeping obligation than relying on an IMAP mailbox that could be disrupted at any point.
